Printing calendar with appointment times

I’m trying to print my calendar but the appointment times do not print for all layouts. Sometimes I see all times, sometimes only the starting times and sometimes no time at all.

The Calendar printing options are quite unpredictable when it comes to showing beginning and end-times of appointments. Not in the last place is this because of the differences in behavior between the various calendar printing templates and the changes between Outlook versions and updates as well.

Outlook 2007
You’ll find that only several templates will show the starting times of your appointments. None of the templates (aside from the Calendar Details Style) will show you the end-times unless the appointment falls outside of your configured working hours.

To be able to print end-times for the Daily Style, you must add the following Registry key;

Key: HKEY_CURRENT_USER\Software\Microsoft\Office\12.0\Outlook\Printing
Value name: ShowStartEndTime
Value: 1

Note: Because this option has been added by an update, make sure that Outlook is fully up-to-date before applying this Registry change.

Outlook 2010
Outlook 2010 will show the beginning and end-times in the following printing templates;

  • Daily Style (when appointment falls outside of working hours)
  • Weekly Agenda Style
  • Monthly Style
  • Calendar Details Style

To be able to print end-times for the Daily Style, you must add the following Registry key;

Key: HKEY_CURRENT_USER\Software\Microsoft\Office\14.0\Outlook\Printing
Value name: ShowStartEndTime
Value: 1

Calendar Printing Assistant
Pretty much all the Daily, Weekly, Monthly and even some Yearly calendar templates of the Calendar Printing Assistant will allow you to print both the beginning en end times of the appointments. Because of this and several other benefits, it is highly recommended to print via this separate free Microsoft tool instead.

If the end times are still not displayed for your selected template, disable the option;
”Drop end times to show longer subject text”

You can find this option in the Calendar Printing Assistant via;
File-> Application Settings…

Calendar Printing Assistant: Drop end times to show longer subject text
Disable the option to make end-times visible for all printing templates.
